Managing DSD Inventory

Inventory must be properly managed for a DSD platform to efficiently run. In order for all deliveries to be made correctly and in a timely fashion, inventory details must be accurate, otherwise delivery delays or cancellations may occur.

Process

Generating an On Hand inventory report

Any inventory with an Allocation Type (fi_type) of "DSD" cannot be used in the main application. If a lot has an Allocation Type of "DSD", it means that lot is currently on an active route in DSD. If a lot was returned via a negative quantity in DSD, the Inventory On Hand Detail report and the Sales Order Detail report may be modified to display the Change Reason for tracking and analysis purposes. Reserving or un-reserving items via scanning

Users may automatically reserve item quantities and un-reserve item quantities via the "Scan Reserve" and "Scan Un-reserve" options on the DSD Lines To Ship form. Once the Lines To Ship form is displayed, the word "Scan Reserve" will appear on the top right hand side of the form. Clicking on this option, users will be presented with three options: Scan Reserve, Scan Part and Scan Un-reserve. Note that the Scan Parts option is used in connection with the adding new sales order lines section below. Also, when scanning with the scan part option, existing parts will be batched up into the same line while also selecting lots if a lotnum is specified in the barcode.

The process for reserving and un-reserving using this method involves the use of a barcode, usually a GS1-128, that contains at a minimum, the part number, lot number and quantity. Additional information on the GS1-128 barcode setup is available via WMS > Barcode Setup. The system will notify the user via a prompt if they scan a user lot/part/quant of a reserved lot was already scanned (if valid) and of a part/serial/quant was already scanned (if valid).

Notes:

  • Users can scan a master lot label to reserve lots and all the lots will show up on the list. They can also un-reserve the whole master lot by scanning the same barcode using the "- Part" or just scan a regular barcode for a specific part to have it subtract just that part and the quantity desired.
  • The Allocated button, at the bottom of the reserve form, will filter the grid to only show those lots that have been allocated to the line.

Selecting specific lots manually or via scanning

If any of the items are lot controlled, the words "Lot Required" will be displayed on the appropriate line item(s) which indicates that users must specify the lots that will be shipped. In this case users may begin scanning the appropriate lots (which is the recommended method) or select the appropriate line(s) to display the "Reserve" form where users may select specific lots via the "Select Lots" button. Once the appropriate lots have been selected, users will click the word "Lines To Ship" in the top left hand corner to return to the "Lines To Ship" form. If scanning lots, the lots will be selected and automatically assigned to the appropriate order lines and users will not need to click or select any lines on the form. Notes:

  • Users may select specific lots even if the words "Lot Required" are not displayed. In this case uses may use either the scan lot option or manually choose lots via the "Select Lots" button on the "Reserve" form.
  • The DSD application offers the ability for the user to scan in either the system lot or the user lot for lot controlled items. This is done through the scanner using a barcode that contains a system lot or optionally a user lot application identifier. The system will automatically select the lot if a user lot or a system lot is in the barcode. Additional information regarding barcode setup and use is available via WMS > Barcode Setup.
  • The DSD application, as well as the main DEACOM application, will not take into consideration barcoded AI's that are not supported by the DEACOM system. In this case, the system will still accept the barcode and supported AI's / data while ignoring non-supported AI numbers.
  • The "Available Lots" screen (which is displayed after choose the "Select Lots" option) will display serial numbers if the parts/lots in the list have associated serial numbers.
  • Lots in quarantine are not included in the lots available for use in the DSD application.

Entering returns and reasons

When shipping a negative quantity in DSD (accepting a return), the system can be configured to require a Change Reason on the User Level. If the security setting “DSD -- ship negative without change reason” is set to Yes, the system will not require a Change Reason. If it is set to No, all negative quantity lines must be shipped with a Change Reason, which are managed in Sales > Maintenance > Change Reasons.

In addition, Order Reporting (Sales) contains a "Change Reasons" search box on Tab 2 of the pre-filter. This search box offers the ability to filter the Sales Order Summary or Sales Order Detail reports based on the Change Reason entered for that order line/item. Note that for the Sales Order Summary report, the system will just check and filter for the first Sales Order line and for the Sales Order Detail report, it will filter all of the lines/Change Reasons in the detail report.

Sales order returns are handled by first selecting the appropriate item(s) that will be returned and then entering the returned amount as a negative quantity on the "Edit Sales Order Line" form. Once the order has been saved, drivers will ship the order to process the return. As with normal sales orders the return will be marked for processing and officially processed when the route is ended in the DSD application. Note that existing sales orders can be modified to add returns. New sales orders can also be created if necessary in order to process the return. With the exception of entering a negative quantity, the process for entering and shipping/processing a return is the same as that of a normal sales order.

User can scan in negative lots/lines. For negative quantities, if the user scans in a lot that doesn't exist in the main system, it is added with its quantities mapped correctly. If the lot does exist, its quantities are simply mapped as usual.

Notes:

  • The DSD application allows lots to be returned when shipping and ending a route. Specifically, when a sales order return (a negative quantity sales order) is shipped and the route is ended, the system will record and mark as returned the actual user lots that were returned when the negative sales order was shipped. Users will be able to see the user lot numbers by running a lots report in the main application via Inventory > Inventory Reporting.
  • Beginning in 17.01.071, the "Expiration Date" field is available on the Reserve form/screen in the DSD application to support returns of items that require an expiration date.
